Cancellation Policy
At Royal Pianos, we strive to provide a professional, punctual service tailored to the needs of each event. Every rental requires advance planning, which may include reserving the instrument, arranging transport, coordinating technical staff and, in some cases, tuning, travel or accommodation.
For this reason, we have established the following cancellation policy.
Quote requests
Submitting the quote request form does not constitute a reservation or acceptance of the service.
Once we receive the information, our team will review the request and prepare a custom quote tailored to the event.
Booking confirmation
The service will only be considered booked once Royal Pianos has issued the relevant quote and it has been accepted by both parties in accordance with the established procedure.
Until then, instrument availability remains subject to confirmation.
Cancellations
Cancellation requests must be submitted in writing to the email address provided by Royal Pianos.
Any applicable charges will depend on when the cancellation is made and on the work already carried out in preparation for the service.
If costs have already been incurred—such as travel, tuning, staff bookings, accommodation or other expenses directly related to the event—Royal Pianos may charge these amounts where applicable.
Specific terms concerning potential penalties or cancellation charges will be communicated to the client during the booking process and will form part of the accepted quote.
Changes to a booking
Requests to change the date, time, location or any other condition of the service must be communicated as soon as possible.
Royal Pianos will assess each case individually and confirm whether the requested changes are feasible, subject to the availability of the necessary resources.
Force majeure
In cases of force majeure or circumstances beyond the control of either party, both parties will work together to find the most suitable solution wherever possible.
Protecting the instrument
The client is responsible for ensuring suitable conditions for the installation and use of the piano during the event.
If damage occurs as a result of misuse, negligence or circumstances attributable to the client or third parties under the client’s responsibility, Royal Pianos may claim the corresponding repair or replacement costs.
Contact
If you have any questions about this policy or need to make changes relating to a booking, please contact our team; we will be happy to help.
Note: This policy is an initial draft and may be amended or expanded. The final cancellation and contractual terms will be reviewed and approved by the legal department that advises Royal Pianos before publication.
